This Privacy Policy describes how Half-Life Academy(“we,” “us,” or “our”), a service of Astreon Solutions LLC, a Delaware limited liability company, collects, uses, and shares information when you use our website, learning platform, and related services (collectively, the “Service”).

By using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.

1. Information we collect

Account information. When you create an account, we collect information such as your name, email address, and profile details through our authentication provider, Clerk. If you sign in with a third-party identity provider, we receive the profile information that provider makes available to us.

Subscription and billing information. If you purchase a subscription, payment processing is handled by Stripe. We receive billing-related metadata such as your subscription status, plan type, and Stripe customer identifier. We do not store full payment card numbers on our servers.

Learning and usage data. We collect information about how you use the Service, including lesson progress, practice sessions, question responses, flashcard review history, readiness metrics, and related study activity needed to operate the product and personalize your experience.

Support communications. If you contact us through the in-app support form or by email, we collect the information you provide, such as your email address, message content, issue category, and optional details like company name, page URL, and browser information.

Technical and device information. We automatically collect certain technical data when you access the Service, including IP address, browser type, device type, operating system, and similar log or diagnostic information used for security, troubleshooting, and service improvement.

Cookies and similar technologies. We and our service providers use cookies, local storage, and similar technologies to maintain sessions, remember preferences, and support authentication and payment flows.

2. How we use information

We use the information we collect to:

provide, operate, and maintain the Service;
create and manage your account;
process subscriptions and manage billing through Stripe;
track learning progress and deliver study features such as lessons, practice, and spaced repetition;
respond to support requests and communicate with you about the Service;
monitor, secure, and prevent fraud, abuse, or unauthorized access;
analyze usage to improve content, features, and performance; and
comply with legal obligations and enforce our terms.

3. AI and machine learning processing

Certain features of the Service are developed with the assistance of, or may be powered in part by, third-party artificial intelligence and large language model (“LLM”) providers.

Content generation. Portions of our curriculum, practice questions, and explanations are generated or assisted by AI tools during content development. This processing does not involve your personal information.
User-facing AI features.If the Service includes any feature where your inputs (such as questions you ask, free-text answers, or study notes) are sent to a third-party AI model to generate a response, we will identify that provider here as a sub-processor and disclose whether your inputs are retained or used to train that provider's models. As of the effective date above, no such user-facing feature is active.
We will update this section before launching any new AI feature that processes your personal information, consistent with Section 11 (Changes to this Policy).

4. How we share information

We do not sell your personal information. We share information only in the circumstances below:

Service providers. We use trusted third parties to help us operate the Service, including providers for authentication, payment processing, hosting, database infrastructure, AI-assisted features (see Section 3), and customer support tooling. These providers process information on our behalf subject to contractual obligations.
Legal and safety. We may disclose information if we believe it is reasonably necessary to comply with law, regulation, legal process, or governmental request; to protect the rights, property, or safety of us, our users, or others; or to detect, prevent, or address fraud, security, or technical issues.
Business transfers. If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction, subject to appropriate protections.
With your consent. We may share information for other purposes when you direct us to do so or give consent.

5. Third-party services

The Service relies on third-party providers that have their own privacy practices, including:

Clerk for account authentication and identity management;
Stripe for subscription billing and payment processing;
Vercel and Supabase for application hosting and data storage; and
Third-party AI/LLM providers, as described in Section 3, for AI-assisted content and features.

Your use of those services may also be governed by their respective privacy policies. We encourage you to review them.

6. Data retention

We retain personal information for as long as needed to provide the Service, fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods may vary depending on the type of data and how it is used.

If you delete your account or request deletion, we will take reasonable steps to delete or anonymize your personal information, except where retention is required by law or for legitimate business purposes such as billing records, fraud prevention, or dispute resolution.

7. Security

We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

8. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, or to object to or restrict certain processing. You can update some account information through your profile settings. You may also contact us to make a request.

If you are a resident of certain U.S. states, you may have additional privacy rights under applicable state law. We do not sell personal information or use it for targeted advertising as those terms are commonly defined in state privacy laws.

If you are located in the European Economic Area, United Kingdom, or Switzerland, you may have additional rights under applicable data protection law, including the right to lodge a complaint with a supervisory authority.

9. Children's privacy

The Service is intended for adults preparing for professional certification and is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us so we can take appropriate action.

10. International users

We may process and store information in the United States and other countries where we or our service providers operate. Those countries may have data protection laws that differ from the laws of your jurisdiction.

11. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on this page and update the effective date above. Your continued use of the Service after changes become effective constitutes acceptance of the revised policy.
